Position Description: Park Day School is a progressive independent school serving a diverse group of 300 students in grades K-8. Park Day currently seeks a full-time Executive Assistant to the Head of School and Development Associate to support the Head of School and Administrative team and to assume responsibility for assisting the Director of Development in planning and implementation of the Annual Giving program.
Executive Assistant Responsibilities include, but are not limited to:
Supports Head of School and Administrative Team (as needed)
Manages Head of School’s calendar
Correspondence as needed
All meeting arrangements for students, parents and external consultants
Coordinates all special projects, including highly confidential PDS matters
Provides all Board and Board Committee support; coordinates all committee meetings and manages monthly board meeting (logistics, communications and materials)
Records minutes at board meetings and committee meetings as needed
Manages board document archives
Assists with event planning and logistics
Manages school internal and external calendars; updates school website calendar items
Assists Admissions Director with event logistics
Coordinates campus visitors
Participate in other Executive Assistant duties as requested
Development Associate Responsibilities include but are not limited to:
Work closely with the Director of Development to plan and manage the annual giving program
Manage annual fund solicitations, including planning and implementation of personal and direct mail appeals, phonathons and other activities
Cooperate with Director of Development to coordinate annual giving solicitations and communications with the Capital Campaign activities
Enter gifts into Raiser’s Edge database, produce acknowledgements, track gift details, and produce donor acknowledgments, all with accuracy and careful attention to detail
Produce reports and analyses of giving, lists, mail merges and other database projects
Conduct the monthly gift/grant reconciliation and prepare development data for the annual audit, working with members of the Business Office.
Participate in other school and development activities as requested
The qualified candidate will possess the following knowledge and skills:
At least 2 years of experience working in a school-setting
At least 3 years of experience as an executive assistant, in a school-setting would be a plus and some experience in fundraising or a related field.
Excellent written and oral communications skills
Demonstrated organizational skills and attention to detail
Ability to work independently and manage simultaneous projects on schedule
Requires knowledge of Microsoft Office, Google, and expertise in using databases
Knowledge of Raiser’s Edge database is highly desirable
Meet schedules and deadlines
Assist in assuring smooth and efficient office operations
Graduated from High School or equivalent

Our Campus and History
Park Day School was founded as a progressive K-6 school by teachers and parents in 1976, and opened with 28 students and four teachers. By 1982, the student body had grown to 90 students, and Park Day moved to the Temescal neighborhood of North Oakland, CA. The school purchased a two-acre campus on 43rd Street in 1993. Today, our four-acre campus is often described as "glorious" and "a jewel." Mature trees, lush flower gardens, birds, squirrels, a ch...icken coop, vegetable gardens and quiet niches are enjoyed by all. Swings, climbing bars, sandy play areas, a large all-weather playing field, multiple climbing structures and a shaded gazebo combine to provide an exciting and varied outdoor area for all ages.
