Southern Methodist University is seeking an Assistant Director, Project Management & Support Services to join the Office of Risk Management. This position reports to the AVP, Chief Risk Officer (AVP/CRO) and will work closely with the whole department staff. The position is responsible for the comprehensive oversight of project management for Emergency Management, Enviromental Health and Safety (EHS), International Travel and Risk within the department. This position will assist and support the development of training presentations, scheduling and preparing for meetings, maintaining office inventory, and updating the website and blog. This position will support overal office administration functions including the budgeting function led by the AVP/CRO. This position will also support Continuity of Operations and Emergency Management for overarching Crisis Management Functions.
Provides project management support for Emergency Management, EHS, and Risk. This includes assisting in the development of scope, budget, timeline and progress monitoring to assure each project is tracked for timeliness and budget management. Also to include project management for accreditation and other compliance requirements.
Assists ORM in the development of training presentations. The role is to assist the ORM staff in developing PowerPoint, Excel or other presentation materials to be used as training tools for risk management presentations and trainings programs including Engaged Driving, Crisis Management, Legal and Risk Management and others as needed.
Assists ORM in scheduling trainings and meetings. This role is to manage the scheduling of meeting and trainings to include working with presenters to identify participants and room location. Also responsible for sending meeting notices to participants and tracking attendence in Safety Skills, PeopleSoft and/or other systems as appropriate.
Manages ORM office activities to include but not limited to maintaining supplies, website/blog update, and answering department phones and emails.
Provides support and coordination for the insurance renewal process, assist in the insurance policy management administration including the certificates of insurance and the bond program.
Supports overall office administrative functions including: the budgeting and financial reporting function led by the AVP/CRO. Provides review and updates of the website as needed.
Supports the emergency management response with duties to include, but not limited to: taking of meeting notes and providing summaries, and learning and supporting the multuple emergency notification system used by SMU.
Program administration support and coordination of programs including: Protection of Minors, running MVRs and other risk and safety initiatives.
Other duties as assigned.
ducation and Experience
A bachelor's degree and a minimum of 5 years of relevant worlk experience is required for this position. A Masters degree and/or a Project Management certification is preferred.
Previous project management experience and database experience is highly desired.
Knowledge, Skills, and Abilities
The ideal candidate will have excellent communication and writing skills and an extreme attention to detail. He/She must have the ability to work with a wide range of constituents at varying levels of skill and authority. Candidate should have the ability to multi-task, manage and prioritize day-to-day tasks. A strong understanding of compliance is preferred.
Candidate should also possess a strong customer service orientation and be adept in problem solving, time managemnet, organizational, and planning skills.
Proficiency in MS Office (Excel, Powerpoint, Outlook) is required.
