Vanderbilt University's Human Resources Department is seeking a Sr. Benefit Data Analyst to serve as a Systems/Technology subject matter expert regarding employee benefits offerings (group health, dental, vision, short-term and long-term disability, life insurance, flexible spending accounts, 403(b), COBRA, PTO, etc.) Responsible for oversight of benefit files and reports in collaboration with HRIS and IT team members to ensure accuracy of benefit data and delivered benefits.
Our ideal candidate will have a passion for troubleshooting processes with an eye to continuous improvement. They will be familiar with Oracle (or a similar HMS), as well as have knowledge of file requirements in working with outside benefit administrators. Solid working knowledge of benefit plans and compliance and security requirements is necessary to success.
Duties and Responsibilities
Creates new or modifies existing files and reports and coordinates with HRIS and IT to confirm the accuracy of additions and changes to benefit files and reporting
Oversees the maintenance of benefits systems, by designing, testing, and auditing new plans in the system
Maintains and updates system configuration, troubleshoots benefits administration processes, and tests corrective action to ensure proper configuration
Develop test plans for interface file changes and coordinates with outside vendors regarding any changes and issues
Partners with HRIS and Payroll to provide data and system support within the HRIS system to validate the accuracy and consistency of benefit information
Manages and enhances existing claims data warehouse using SQL Server, which includes monitoring data feed updates from vendors and internal systems
Reviews, analyzes, implements, and troubleshoots layout changes, new data files and tables, and new database setups and modifications
Develops and implements audit processes for analysis of data input. Audits include enrollment, eligibility, and plan reconciliations to ensure compliance with all benefit plans. Performs full data audits to identify discrepancies and communicates clear direction on how to resolve them for decision makers.
Audits all benefit vendor invoices, resolves discrepancies and submits to vendor for review
Analytics, Metrics & Reporting
Assists in the development, maintenance, and revision of a variety of reports using appropriate reporting. Provide claims, enrollment, deductions, plan participation data, and other analytics to Leadership on an ad hoc basis.
Conducts scheduled reporting on benefit plans including, but not limited to, cost, demographics, and utilization, to facilitate planning and decision-making in regards to benefit programs, plan design, and ensure compliance with state and federal regulations.
Collaborates in filing various compliance reports including, but not limited to Department of Labor 5500 reporting, Summary Annual Reports (SAR), Affordable Care Act 1095 reporting, non-discrimination testing, etc.
Coordinates with vendors for data collection and analysis related to plan audits and compliance filings
Develops and oversees ACA IRS reports and tools for monitoring the administration of health plan enrollments to ensure compliance
Participates in the review and update of Summary of Benefits and Coverage (SBC), Summary Plan Descriptions (SPD), as well as internal benefits communications materials
Researches and resolves HRIS benefit problems, recommends solutions to meet requirements
Participates in open enrollment planning and execution
Develops and maintains procedures, processes and workflow diagrams and identifies potential areas for improvement
Participates in surveys by providing data relative to benefits costs and design
Identify, recommend, and implement, as directed, improvements to existing processes and procedures
A Bachelor's degree &/or the equivalent and 3 years of experience
Experience working with database programs (i.e. employee benefit tracking programs, payroll and/or HRIS programs), system coding, troubleshooting, and resolving system issues
Strong analytical and technical skills, including the ability to review and interpret data, make recommendations and present fact-based information for decision making
Advanced level proficiency with MS Office Excel, Access and PowerPoint to include the ability to create pivot tables, write conditional formulae and create charts / graphs to summarize data findings
Strong attention to detail and the ability to work with large amounts of data and identify even the smallest of discrepancies
Experience in the use of HCM systems, and specifically Oracle Cloud HCM system
Aptitude to work in a fast-paced, multi-tasking environment and manage sensitive, confidential issues
A team player with the ability to build strong relationships with the Benefits team, benefits vendors, other HR staff, and other business partners on and off-campus
Strong verbal and written communication skills
