This position supports the Risk Management Department and multi-industry operational subsidiaries in all aspects of the corporate commercial insurance program. Primary responsibilities include familiarity with a broad array of commercial insurance coverage, compilation of underwriting/exposures information, Certificate of Insurance administration, invoice and statement reconciliation and allocation, claims administration, and related administrative duties.
This is a solution-oriented position requiring a customer service mindset, strong verbal and written communication skills, and agile critical thinking. Requires internal drive and accountability, as well as the ability to work both independently and collaboratively with a dynamic and diverse group.
ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)
Under the general direction of supervisor, provide support to the Risk Management department regarding all aspects of the corporate insurance program in support of multiple industries including: construction; oil & gas service support; petroleum refining and marketing; federal contracting; real estate; and hospitality
Assist departmental staff on large and complex insurance renewals, to include working with brokers and operational personnel to organize, track and gather applications on set deadlines, guide operational personnel through completion of applications, and assemble submitted applications and materials
Support subsidiaries and stakeholders on matters relating to corporate insurance program, evaluating insurance coverage, and verifying exposure schedules
Assist operating groups and subsidiaries in understanding contractual insurance requirements, and ordering, tracking and verifying the accuracy of Certificates of Insurance to facilitate their operations
Receive, process, verify, and reconcile invoices and statements, including preparing supporting documentation for payments
Complete and submit reports of claims to brokers and insurers, review and verify claims acknowledgements, and track activities and responses through claim closure in conjunction with management, subsidiary contacts, and Risk Management Claims Coordinator
Correspond with claim adjusters/examiners and solicit, review and deliver information necessary to investigate and complete Workers Compensation, Auto, Property and Equipment, and General Liability insurance claims
Provide analysis to management to assist in loss reduction, based on knowledge of subsidiaries’ activities and operations.
Perform database management (initial set-up, maintenance and date entry within Excel, Word, Sharepoint, and RMIS system) for exposure schedules and other insurance related information.
Maintain and organize files and filing, including confidential medical, legal, and payroll records, etc.
Operate in an environment that requires a high level of interpersonal skills to handle sensitive and confidential situations which require demonstrated poise, tact and diplomacy over the phone and via written correspondence
Assist management with various administrative requests related to department operations
Work with coworkers and stakeholders both co-located and in separate geographical locations
EDUCATION and/or EXPERIENCE
Associates or Bachelor’s Degree, or equivalent related industry experience
Minimum five years prior experience with similar duties
Ability to use Microsoft Office software including Word, Excel, PowerPoint, Outlook, SharePoint and Teams. Ability to use various video conferencing programs
Strong written and verbal communication skills
