Event Records Analyst, Office of Advancement - Georgetown University
Event data resulting from the many dozens of events the Office of Advancement executes each year allows GU to better target strategic communications with constituents and measure levels of engagement around the University community. To ensure data are as accurate and complete as possible, the Event Records Analyst plays an essential role in the Office of Advancement (OA). Working in a team with other Records Analysts and Managers, this person will help to ensure data integrity and accuracy are maintained for a database of more than 200,000 living alumni and over 600,000 constituent records total. This position offers a significant opportunity for professional growth and the development of new skills as Georgetown University continues the development of a new enterprise Salesforce database platform. The Analyst will assist in the testing and implementation of new features in the Salesforce system.
The Event Records Analyst manages and is responsible for the data integrity of all event-related data in the GU Office of Advancement database. Event data is used throughout the Office of Advancement, with a significant impact in the areas of Class Programs and Reunion Campaigns (CPRC), planning and executing Signature Events, and measuring alumni engagement with the University. The Event Records Analyst uses coding tools to read event data from a variety of sources, including but not limited to Cvent, the Online Alumni Community and user-submitted events. S/he manipulates data using tools such as Access and Excel. The analyst is responsible for data integrity of event data in all event-related systems, including Cvent. Meeting a high standard of accuracy, he or she performs data entry of confidential information drawn from a wide variety of sources on the GU Office of Advancement Salesforce database of alumni, parents, donors, and friends of the University. S/he trains users on the event component of the GU Office of Advancement database, GU360, and trains and supervises students assisting with manual coding.
Has frequent contact with Advancement Special Events staff regarding events and some contact with other University staff and outside constituents who are requesting that updated information be entered in the GU Office of Advancement database. Works with UIS GU360 team to test and implement automated import of Cvent data where possible and helps optimize use of Cvent platform across the University.
4+ years of professional experience in data management - preferably in higher education or non-profit setting
Excited by data and the challenge of helping a large organization become more data driven
Highly organized and detail-oriented, independent and motivated by achieving milestones
Proficient use of advanced formulas or macros in Microsoft Excel
Is comfortable with Microsoft Access, SQL, or a similar tool and running reports from it or similar experience that would indicate a propensity for learning the database reporting tool
Familiar with Salesforce and Cvent platforms
Sensitive and experienced in customer service
Ability to work with internal and external partners in positive and collaborative interactions
Work Mode: Hybrid (2 days on campus, 3 days telework). Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University.
