Saint Mary’s School is offering a unique and exciting opportunity for a Business and Financial Aid Analyst to work on our beautiful historic campus. This exceptional location is in the heart of downtown Raleigh in a gated campus with 24/7 security.
The Business and Financial Aid Analyst will report to the Chief Financial Officer/Chief Operating Officer, providing financial benchmarking and data analysis, management and coordination of financial aid, institutional insurance and contract administration, plus analytical and organizational support for human resources, accounting, and all other areas of the Business Department. This is a full-time position with varied responsibilities in a diverse department. The position requires the ability to research, analyze and organize data, present data and conclusions to management, and a deep understanding of independent schools and how they operate. The position also requires an accounting background, an aptitude for business analysis, outstanding organizational skills, and a commitment to strict confidentiality concerning all matters of the business organization.
Essential Duties and Responsibilities
Financial analysis and reporting
Responsibility for financial data integrity, financial analysis, benchmarking, comparative reporting, and key performance metrics for the school using the NAIS DASL tool, accounting system, and other resources.
Prepare documents, analysis, spreadsheets, presentations, reports for board level, senior management, and staff meetings with limited oversight and complete confidentiality.
Review financial reports and present trends for senior management review.
Annual budgeting and forecasting.
Ad hoc analysis and financial reporting as requested by Chief Financial Officer/Chief Operating Officer or Executive Cabinet.
Contract administration and risk management initiatives
Primary responsibility for organization, tracking, and administration of contracts including administering contractual requirements, delivering information as required, recommending changes.
Primary responsibility, under the direction of the Chief Financial Officer/Chief Operating Officer, for property, casualty and liability insurance including but not limited to request for proposal, bid process, information on liability issues, identification and information for property, and liaison for all insurance claims.
Implement and oversee software for support of accounting and human resources.
Implement and manage special projects and initiatives such as tuition insurance implementation, e-rate grant application, school-wide report data, peer transfer software, strategic planning software, etc.
Coordinate and communicate with vendors, the school community, and the external community as a professional representative of the school.
Organize and oversee contracts, legal documents, and financial information.
Oversee reception and front desk staffing and training.
Accounting and Human Resources
Perform accounting responsibilities in coordination with the Chief Financial Officer/Chief Operating Officer including confidential information.
General ledger accounting entries and account reconciliations including credit card reconciliations and monitoring of expenditures, process improvement, and internal controls.
Assist with the preparation of monthly, quarterly, and annual financial reporting including key performance indicators, benchmark analysis, and peer school comparisons.
Prepare ad hoc analysis, create, and troubleshoot spreadsheets.
Upload data, provide database support and database information management for payroll, contact database and accounting database.
Maintain archived files in an organized and easily located system as required and arrange for rotation and disposition per disposition and retention schedule including financial, tax, and legal documents.
Prepare, update, and maintain documents, spreadsheets, presentations & reports.
Responsibility for knowledge of all daily processes of the business office to serve as back-up in the event of absence and for major projects in each area.
Organize and track financial aid files as they are received from the admissions office.
Review all financial aid applications (including the PFS, RFC, tax returns and supporting schedules, W2s, merit applications, etc.); calculate and tabulate initial proposed award based on information received.
Serve on the Financial Aid Committee; work with the committee, the Associate Head of School for Institutional Advancement, the Chief Financial Officer/Chief Operating Officer and the Head of School to assign financial aid awards.
Develop policies, procedures and systems for such activities as financial aid application process, grant determination, appeal procedures, family notification.
Increase transparency and consistency of the financial aid program through recording, tracking, reporting, reviewing and documenting processes, procedures, awards, and financial implications.
Serve as point of contact and liaison between the admission office and the business office regarding financial aid.
Manage the financial aid budget and continuously track the student awards.
In conjunction with Chief Financial Officer/Chief Operating Officer, maintain analytics and assessment of net tuition revenue, effectiveness of the use of financial aid as an enrollment tool.
Proactively organize, track, assess and analyze effectiveness of merit aid scholarships, endowed scholarships and status of endowment scholarship program.
Prepare financial aid reports for the Board of Trustees and Head of School as assigned by the Chief Financial Officer/Chief Operating Officer.
Other Duties as Assigned
Perform other related duties as assigned by the Chief Financial Officer/Chief Operating Officer.
Perform weekend and night responsibilities to support the life of the residential community and the academic program as required by your position or requested by your manager/supervisor.

Associate’s degree in business or related field, bachelors preferred plus a minimum of 5 years of experience working in a financial or accounting capacity or equivalent combination of experience and education.
Physical Requirements and Work Environment:
Be able to occasionally lift up to 30 pounds.
Works primarily in a traditional climate-controlled office environment spending extended periods of time at a desk on a telephone and/or in front of a computer screen.
Regularly sit, talk, hear, and interact with students, employees, alumnae, and/or other constituents.
