Job Overview
The mission of the Law Center's Office of Advancement is alumni outreach and fundraising as part of and in coordination with the mission and goals of the University.
The Executive Assistant has a key role in support for the Assistant Dean of Development and Alumni Affairs in duties such as managing the Assistant Dean's calendar, and scheduling individual meetings, as well as meetings involving multiple stake holders - to include meetings are with peers, alumni, and friends of the Law Center that are frequently confidential in nature. As well, they manage the Office of Development with the assistance of the Office of Development Administrative Assistant.
They are responsible for the budget, human resources and ProCard - monitors the budget, reviews and approves all reimbursements and contracts, and handles time keeper responsibilities; administers ProCard on-line allocation and paperwork for the Assistant Dean and the Executive Director of Development; and reviews and prepares paperwork for all ProCards in the Office of Development. As well, they serve as the Human Resources representative for the department and connects regularly with the Law Center, Office of Advancement and Georgetown University Human Resource teams.
As the chief assistant to the Assistant Dean, the Executive Assistant interacts regularly with administrators, faculty and staff at the Law Center, especially with staff in the Dean's and Vice Dean's office, staff on Main Campus; and with prominent donors, alumni, and persons from institutions and organization associated with the Law Center.
They handle all travel arrangements - domestic and internationally - for the Assistant Dean, including scheduling and logistics for meetings with alumni and donors. For several Development trips (domestically and internationally), the Executive Assistant often handles travel arrangements for the EVP/Dean of the Law Center and the Vice Dean, including passports and visas for international travel.
Work Interactions
Reporting to the Assistant Dean of Development and Alumni Affairs, the Executive Assistant works closely with the other Development staff and ensures that they have the necessary equipment and administrative support to accomplish their fundraising and professional goals. This involves scheduling meetings with alumni and major donors, handling travel logistics, monitoring ProCard expenses, submitting financial paperwork, and handling HR/GMS issues, and office supervision - working with a many of the offices at the Law Center and the University to complete.
Qualifications
High School diploma - preference for Bachelor's degree
5 to 7 years of progressively complex administrative experience supporting senior management or C-level executive(s) - preference for experience in a non-profit or university setting
Excellent oral and written communication skills
Strong organizational skills; experience providing complex administrative support in a high-profile environment with tact and diplomacy
Ability to work in a fast-paced environment and manage multiple tasks and competing demands and priorities effectively.
Excellent skills with standard office productivity software such as Microsoft Office
Ability to take the initiative and accomplish projects without supervision
Ability to handle highly confidential information with discretion
