General Summary:
Provides Administrative support on all aspects of the Dean of Workforce & Business Development work, including the Centers' operations under the Dean's authority.
Functions as a liaison between departments regarding administration and communication.
Collaborates with the Center of Workforce Development, the c4SBT, and the Business Innovation Center staff to coordinate activities, events, and procedures.
Works with various local, state, and federal agencies on grants and programs.
Collaborates with the marketing department to market department successes.
Composes letters and reports and reviews documents for completeness and compliance with third-party requirements.
Conducts research and prepares reports on various workforce issues and programs.
Compiles program data and prepares reports on training outcomes.
Prepares confidential memos and letters.
Maintains the Dean's calendar and schedules meetings.
Serves as the initial point of contact for student inquiries.
Serve students in an asset-based way and stresses equity for all students.
Provides timely and professional responses to students' telephone, email, and walk-in inquiries.
Attend college and community events to promote programs and recruit students.
Attend campus meetings and serves on committees, as required.
Maintain an inventory of supplies and order supplies as needed.
Perform other duties as assigned.
Job Requirements:
Associate or higher degree with a major in business administration, business management, or public administration.
Three years of full-time, or equivalent part-time, experience in office management, office administration, business administration, or business management, with experience in purchasing, budgeting, accounting, records management, process improvement, grants management, and contract administration.
Demonstrated excellence in time management, attention to detail, and the ability to learn quickly.
Ability to observe strict confidentiality and exercise discretion in handling confidential information in all aspects of work.
Ability to multitask and manage competing projects.
Excellent working knowledge of Microsoft Word, PowerPoint, Excel, and Outlook.
Ability to independently prepare and use charts, graphs, and tables to analyze data and draft reports.
Ability to write concisely, prepare reports and maintain accurate records.
Maintains a positive and proactive approach to problem-solving and developing innovative solutions to address challenges.
Ability to deal tactfully with others, establish rapport, and maintain harmonious working relationships with persons from varied ethnic, cultural, and economic backgrounds.
Strong interpersonal and communication skills.

Preferred Qualifications:
Bachelor's degree and 5+ years of senior executive assistance and office administration experience in higher education.
Knowledge of state budgetary procedures relating to positions, salaries, and personnel services.
Knowledge of the laws, rules, policies, and procedures governing the State and Federal Grant Administration.
Knowledge of state accounting and budgetary procedures, including terminology.
Knowledge of state procedures governing the purchasing and requisitioning supplies and equipment.
Prior experience in an urban community college or with diverse populations.
Prior experience working with students from diverse social, cultural, and economic backgrounds who possess various academic abilities and interests.
Bilingual (Preference for Spanish, French, Haitian Creole, Cape Verdean-Creole, or Portuguese).
Valid Driver's License

Additional Information:
Location: Roxbury campus with occasional travel to off-campus meetings as needed. This position will be eligible for a maximum of two days of telework in accordance with the College's telework policy.
Hours: 37.5 hours per week, Monday to Friday 9:00am-5:00pm Expected start date: January 2023
