Job Overview
The Systems Analyst for Curriculum, Scheduling, & Classroom is an integral member of the Office of the University Registrar and its dynamic Scheduling Team which is focused on ensuring accurate and efficient academic scheduling, and its exceptional service to students and the Georgetown campus community. Responsibilities include but are not limited to:
Manage the course schedule, coordinate classroom assignments, maintain classroom data, and assist the Assistant Registrar with oversight of the curriculum, leveraging new and existing resources to increase efficiency and enhance the student, faculty, and staff experience while supporting the University Registrar's mission.
Serve as a subject matter expert, partners with university stakeholders; and provide functional leadership to advise on processes, systems, and business intelligence reports with accurate and robust information to support university and Registrar decisions.
Serve as a knowledgeable source of information regarding the policies, procedures, rules, and regulations that affect their functional area; and serve as a primary point of contact for class scheduling and course catalog maintenance.
Develop, maintain and support Scheduling Team software programs, including but not limited to CourseLeaf CLSS, Accruent EMS and Ellucian Banner.
Performing in a professional and ethical manner, they carry out duties that include but are not limited to:
Contribute to the maintenance and upgrading of all software applications for the scheduling area of the Office of the University Registrar
Provide functional support, including maintaining accurate documentation, troubleshooting support, and training faculty and staff on the use of the CourseLeaf CLSS module
Provide support for upgrades and serve as a liaison working with CourseLeaf (CLSS) and Accruent (EMS)
Coordinate all aspects of EMS classroom optimizer to schedule classes into classrooms
Support faculty by processing room relocation requests
Schedule semesterly final exams classroom assignments for publication utilizing EMS and CourseLeaf CLSS
Manage and significantly contribute to the preparation, updating, accuracy and timeliness of the schedule of classes
Create, run and distribute systems' reports for departments, faculty, supervisors and colleagues
Contribute to the maintenance, tracking, monitoring, editing, creating, and updating of department course level and section level offerings
Serve as a knowledgeable source of information regarding the policies, procedures, rules, and regulations that affect their functional area
Write clear and effective correspondence and informational materials
Give professional presentations to a diverse group of campus constituents
Administer daily email communication management with students, faculty and staff on Scheduling Team functional areas
Work Interactions
The Systems Analyst for Curriculum, Scheduling, & Classroom has direct interaction with the Main Campus faculty, staff and administrators regarding scheduling and classroom assignment, the administration of CLSS and course catalogs, and provides reporting and analysis of scheduling and EMS data.
They have direct contact with university staff outside the Registrar's office (e.g., UIS, CNDLS, etc.) regarding projects requiring collaboration; as well as direct interaction with the Registrar's Office colleagues during daily operations and regarding projects requiring collaboration.
Qualifications
Bachelor's degree or equivalency
2 to 3 years of registrar's office experience or other student services experience with registrar's office related tasks within a higher education setting
Experience with Banner student information system, CourseLeaf CLSS, EMS space management software
Experience working with cross-functional teams and process improvement
Strong analytical and problem-solving skills, ability to think strategically; and communication skills that project confidence and establish rapport with campus constituents.
Ability to work independently as well as part of a support team - both within and beyond the office
Strong organizational skills with the ability to balance multiple priorities and to manage time effectively
Advanced knowledge and skill in Google Sheets, Docs, Slides, Drives, etc.
Ability to learn new technology quickly and independently
Demonstrated proficiency with maintaining complex databases and report generation
