Speyer School, a K-8 school for gifted students in Manhattan, seeks an Accounting Manager. This is a full-time, 12-month position reporting directly to the Chief Financial and Operating Officer.
Duties and Responsibilities:
Oversee the timely and accurate recording of charges, payments, and adjustments in student billing utilizing the Veracross portal and serve as primary liaison with Veracross (or other third-party billing companies) regarding the management of online student billing process:
Coordinate the online enrollment and re-enrollment processes, working closely with the Admissions Office, the Technology Department, and outside consultants.
Ensure timely posting and collection of signed contracts and enrollment deposits and follow up on enrollment extension requests.
Communicate, maintain, and monitor all enrollment status changes and ensure all parties are kept apprised of the necessary information in a timely fashion.
Invoice all student tuition and other incidental charges.
Set up payment schedules for all enrolled students.
Apply awarded financial aid and deposit payments to student accounts.
Handle tuition refund insurance and claims.
Collection of past due accounts.
Record all billing and payment from Veracross to QB.
Reconcile student billing balances with the general ledger.
Process all cash, checks, and credit card receipts and record deposits and bank transfers in QuickBooks including, but not limited to, tuition, advancement, camp programs, after school programs, etc
Work with the Advancement team in processing and classifying contributions and ensuring that restricted gifts income is recorded and utilized in accordance with donor directives and maintain the integrity of funds.
Responsible for staying up to date on outstanding balances and following up as necessary with collection communications for all outstanding accounts.
Reconcile gifts with the Advancement Office.
Oversee the accounts payable process including:
Review of all invoices for appropriate documentation and approval
Process vendor invoices ensuring proper account coding and approval.
Review all employee reimbursement requests for proper documentation and approvals.
Prepare and mail checks.
Resolve purchase order, contract, invoice and payment discrepancies.
Respond to all vendor inquiries in a timely manner.
Manage vendor database and maintain updated W-9 and tax exemption forms, including annual 1099 filings.
Recording of all credit card transactions
Reconcile all bank & investment statements.
Reconcile all credit card accounts.
Record and track all capital expenditures.
Maintain fixed asset schedules.
Prepare periodic journal entries.
Work with HR to ensure proper recording of payroll, benefits, and other HR related activity in QB.
Budgets & Projections
Assist the CFOO in developing and maintaining the annual budget.
Prepare quarterly budgets to actual reports.
Review accounts for discrepancies.
Review quarterly reports with department heads.
Make any budget updates for the current and future year.
Review projections for future years based on current budget to actual reports.
Make mobile deposits of any checks received at the school.
Manage annual audit working with auditor to provide all required documents and information.
Work with the CFO in developing and improving controls, policies and processes as needed.
Maintains relationships with external parties including vendors, consultants, auditors, investment advisors and bank representatives.
Coordinate with the Parents Association to ensure receipt of financial statements and reconciliations.
Maintain financial and HR files and purge anything 7+ years old on an annual basis.
Requirements, Skills, and Qualifications
Bachelor’s Degree in Accounting required
2-4 years of accounting/bookkeeping experience required; non-profit accounting preferred
Quickbooks or other accounting software experience required
Independent school experience preferred
Veracross or other student information system experience preferred
Must be organized, detail-oriented, and flexible
Ability to multitask and manage projects independently
The salary range for this position is $75,000-$95,000. The position on the scale will be based on years of accounting experience and education.
