Wittenberg is seeking an Executive Assistant to support the Division of Student Development. This individual will be responsible for the management, administration, and organizational support of all aspects of the business operations for the Student Development division, specifically the offices of the VP/Dean of Students, Residence Life, and Student Conduct. This is a full-time, nonexempt-level position reporting to the Vice President for Student Development & Dean of Students.
Essential functions include, but are not limited to:
Provide direct administrative support for the Vice President for Student Development/Dean of Students, Associate Dean of Students and Director of Residence Life, and Director of Student Conduct by coordinating their daily schedules, travel, meetings, correspondence, phone calls, etc.
Provide clerical, administrative, budget and project support to the offices of VP/Dean of Students, Residence Life, and Student Conduct.
Aid in the creation and dissemination of division-wide marketing materials, including but not limited to the Weekly Digest for students.
Serve as the initial point of contact for students, families, campus personnel, alumni, and community stakeholders for general questions regarding the Offices of the Dean of Students, Residence Life, and Student Conduct.
Support the Student Development division in general office responsibilities including ordering and maintenance of office supplies in the types and quantities as required according to University policies; maintain office equipment.
Manage student employees for the Office of Student Development - facilitate new student recruitment, orientation, and ongoing training.
Serve as departmental liaison to the Business office, monitor and assist the Student Development staff with the purchasing, travel, supplies, budget oversight and forecasting.
Monitor and oversee the budget for the office of the VP/Dean of Students, Residence Life, and Student Conduct, including the processing of check requests and purchase orders, purchasing card audits, and cash deposits. Includes managing purchasing card use by students affiliated with residence life department.
Work collaboratively with the Assistant Director of the Student Center for Scheduling & Events on aspects of campus programs including but not limited to Midnight Breakfast, Cram Jam, Homecoming, Family Weekend, Honors Convocation, and Commencement.
Maintain the student organization database, student local address files, key inventory, and monitor campus information list serves.
Produce reports and labels for campus and student organizations as requested.
Perform other relevant duties as assigned such as special projects, programs, and developmental activities.
Job Requirements:
A bachelor's degree or equivalent experience (4+ years) is required.
1 - 3 years of relevant working experience is required.
Experience with web-based event scheduling programs such as 25Live is preferred.
Competency and experience with Microsoft Excel, Publisher, Outlook, and PowerPoint is necessary. Familiarity with working in a customer service and higher ed environment are preferred. Familiarity with Adirondack, CBORD, Datatel, Ellucian Colleague, and JotForm is helpful.
This position requires ability to work with a variety of constituents, solve problems quickly and professionally, anticipate needs, and communicate proactively. An understanding of how to prioritize competing demands and timelines is necessary. Be available for occasional evening and weekend hours during high volume periods.
Must have excellent communication skills both written and verbally. Needs to be a team player, who appreciates diversity, is able to multitask in a fast paced dynamic environment, and who has excellent customer service, time management, and data entry skills.
Ability to access a variety of properties, including traversing multiple flights of stairs, areas without air conditioning, and uneven surfaces.
Ability to transport items and equipment weighing up to 50 lbs. with assistance.
Ability to utilize computer, office phone, cell phone, and tablet as needed.
A valid driver's license is required; must meet required insurance qualifications found in Wittenberg Motor Pool policies and procedures. If license is from out of state, successful candidate will need to obtain a valid Ohio driver's license within 30 days of hire date.
