Academic Personnel oversees two major functions - 1) The recruitment, appointment, advancement, compensation, and retention of all academic personnel and 2) Faculty development programs for the Schools of Health, which now includes housing of additional programs: the Women in Medicine and Health Sciences (WIMHS), the Interprofessional Teaching Scholars Program (ITSP) and other professional development and leadership activities. Under the direction of the Assistant Dean and Manager, the department works collaboratively to provide high-level analytical support to the Associate Vice Chancellor and Dean, Department Chairs, Program Directors, Chief Administrative Officers, Department Analysts, and faculty. They provide information, policy interpretation, development of new policies and procedures.
Under the direction of the Department Manager, this position works collaboratively to provide support to the Recruitment Lead and Generalist Team for day-to-day recruitment activities and high-level analytical and administrative support to the Associate Vice Chancellor, Assistant Dean, and other School/Department staff. This position will also communicate and work collaboratively with the Office of the Vice Provost-Academic Affairs and the Academic Personnel staff; provide information, interpretation and recommendations related to academic personnel policies; assist in the development and implementation of new School, campus and system procedures and practices, and assist with matters involving employment and labor relations.

Minimum Qualifications
Extensive experience and understanding of academic recruitment process (faculty recruitment highly preferred) including online application management, advertising, interviewing and search committee oversight.
Experience and working knowledge of Microsoft Suite; and general clerical/administrative tasks.
Demonstrated knowledge and ability to manage multiple complex executive level calendars and experience efficiently and effectively with meeting/event coordination.
Demonstrated analytical decision-making, critical thinking, and problem-solving skills.
Accomplished multi-tasking, organization, and discipline skills.
Excellent interpersonal, communication (written and oral), and customer service.
Detail oriented with excellent project management skills.
Preferred Qualifications
Knowledge and understanding of Academic Personnel Manual policies and academic bargaining unit contracts.
Knowledge of or experience with UC Recruit, MyInfoVault, APHID, SOM Offer Generator Program, Airtable, PeopleSoft, and Outlook
Working knowledge of virtual interview software.
Experience using campus and school payroll/personnel systems.
Department Description
The Office of Academic Personnel, School of Medicine Dean's Office has overall responsibility for administration of the academic personnel process and faculty development programs in the Schools of Health. The schools consist of 26 different focus areas and/or departments and 12 organized research units. The office is currently comprised of the Associate Vice Chancellor, Assistant Vice Chancellor, Associate Dean for Academic Advancements, Assistant Dean, Executive Advisor, Department Manager, 34 analysts (including Academic HR Generalists, Cluster Analysts and Project Policy Analysts), 1 Health Professions Education Specialists, 3 Program Directors, 2 Co-directors and 1 Project Scientist. The workforce of the school consists of approximately 4000 academic appointees including members of the Academic Senate, Academic Federation, Junior Specialists, Volunteer Clinical Professor, Visiting Professors, and student titles.
