Job Overview
The Executive Coordinator provides key administrative functions and logistical support to the Senior Vice President and Chief Operating Officer (SVP/COO) and supports the Chief of Staff (CoS) in the management and execution of strategic priorities. A cross-functional and self-directed team player, they take initiative, anticipate needs, ensure consistent high quality products and materials, and adapt to different situations. As well, they act as a trusted advisor to the COO and CoS in office initiatives and maintain the highest level of confidentiality with sensitive university matters.
They are responsible for the day to day operations of the COO as they relate to scheduling, planning, meeting facilitation, and team task prioritization, interfacing with many internal and external colleagues; sharing the responsibility of response coordination with the Director of Digital Solutions and CoS; and supporting regular annual meetings and events, and special projects as assigned.
Work Interactions
Reporting to the Director of Digital Solutions, the Executive Coordinator interfaces directly with the COO and their direct reports. They manage the complex needs of the SVP/COO; develop and maintain a firm grasp of the SVP/COO's organization and of the University more broadly; and maintain a strong working relationship with offices throughout the University.
In a highly visible position, they interact on a regular basis with both internal and external constituencies, including faculty, staff, students, alumni, University officials, local, national and international government officials and VIP dignitaries. As such, the professionalism with which they perform their duties impacts the impression that faculty, staff, students and visitors have of the SVP/COO's organization.
The Administrative Officer, a trusted member of an essential team, interacts closely with all direct reports of the SVP/COO, as well as with all levels of University leadership, counterparts in other offices, Board members and their representatives, and external colleagues.
Requirements and Qualifications
Bachelor's degree
3 to 5 years of progressively complex administrative and customer service experience supporting senior leadership or C-level executive(s)
Excellent written and oral communication skills, including grammar, spelling and composition are necessary
Exceptionally strong organizational skills and analytical abilities, and proven interpersonal skills and experience in providing complex administrative support in a high profile environment with courtesy, professionalism, diplomacy, efficiency and confidentiality
Ability to effectively manage and prioritize multiple tasks, understand stakeholder needs, and work under pressure - preference for experience with project management
Proficiency with standard office equipment such as printers, copiers, faxes, and scanners; as well as excellent skills with standard office productivity software, including Gmail, Google Calendaring and other applications, Microsoft Office Suite (MSWord, Excel, Outlook and PowerPoint), including the use of advanced formatting of Word, and the ability to set up and use Excel spreadsheets
Flexibility, creativity, with strong organizational skills and ability to work with a variety of personalities and constituencies to meet the demands of the job
A proactive self-starter who takes direction and feedback from supervisors
Ability to proactively communicate, engage and learn about evolving technologies to enhance the productivity of the SVP/COO and their team
