Position Summary:
Student Housing is a self-funded, large and complex campus department consisting of 6 housing communities and 3 support units, with more than 240 staff employees, 300-400 student employees and an annual operating budget of $120 million. Student Housing provides housing for approximately 9,000 undergraduates, graduate students and their families in over 250 buildings and approximately 3.3 million sq. ft. Currently, Student Housing houses 45% of UCI's enrolled students (in conjunction with American Campus Communities, UCI's 3rd party housing partner) with a goal of housing 60% as part of the campus Long Range Development Plan (LRDP). Student Housing also provides maintenance and repair services to student residents.
Under the general supervision of the Assistant Director of Accounts Receivable, the Financial and Administrative Analyst is responsible for the day-to-day financial activities in Housing Administrative Services, this includes issuing invoices, tracking payments and other accounts processes. Incumbent participates in organizational policy making, planning, and problem solving, including auditing accounts and Housing contracts, online systems and reports, process refunds, troubleshoot accounting entries, create work manuals, assist with training on the computerized AR system (OSCAR), assist with audit activities, year-end and fiscal close processes for student housing resident accounts. Serve as the backup to Assistant Director, Accounts Receivable in their absence and other duties based on staffing levels and the needs of the office. Collaborates with systems configurations of systems used for processes. Serves as a resource to department and campus representatives regarding Housing resident accounts information with trouble-shooting issues. Additional duties include tracking, review and analysis of expenditures, monthly ledger reconciliation, report preparation to research and compile trend data, collaborate with the financial team with fiscal closing process for all Housing expense accounts, record-keeping and review of expense documents. Working on special projects and adhoc assignments will be assigned as needed. Supervises student assistants in the Financial and Business Operations (FBO) unit. Uses professional concepts. Applies organizational policies and procedures to resolve various issues. Works on problems of limited to moderate scope where analysis of situations or data requires a review of multiple factors. Exercises judgment within defined procedures and practices to determine appropriate action. Contacts are primarily internal to the department, but may also be external.

Required:
Two to three years of related or equivalent experience.
Bachelor's degree in related area and / or equivalent experience / training.
Working knowledge of finance policies, practices, and systems. Ability to gather reasonably retrievable information to organize, and perform basic financial analysis assignments. Skill to gather data, analyze information, identify problems and work toward reasonable resolution. Demonstrated ability to effectively present information verbally and in writing clearly and concisely. Demonstrated ability using spreadsheet and database software for moderately complex financial analysis, fiscal management, and financial reports. Advanced user of Microsoft Excel and other Microsoft Office products in order to conduct financial analysis, account reconciliation, and other accounting support. Demonstrated interpersonal skills at all levels within the unit; excellent service orientation and critical thinking skills; and attention to detail. Demonstrated ability using organizational skills to multi-task in a high volume environment. Ability to adapt to changing priorities. Ability to function as a member of a team. Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources. Ability to maintain confidentiality of records and information. Ability to maintain strong ethical and professional attitude for accomplishing responsibilities. Ability to follow through on assignments to ensure they are completed correctly and on time. Demonstrated skill in financial analysis, record keeping, account reconciliation that includes audit planning and preparation. Ability to establish and maintain cooperative working relationships with other staff members, managers, and administrators. Demonstrated ability to work both as a team member and independently. Ability to be flexible, adaptable and effectively learn new processes.
Preferred:
Knowledge and experience using the campus Kuali Financial System and KFS Decision Support (or similar finance and reporting systems) for research and reporting purposes.
