The Langson Institute and Museum of California Art (Langson IMCA) is an emerging organization with limited but growing personnel and financial resources, operating within the larger framework of the University of California public education system. Founded in 2017 following the donation of two significant private collections of California Art to UCI, Langson IMCA aims to unite students, faculty, scholars, artists, and the public in generating new knowledge and fostering transformative experiences inspired by California Art and its global contexts.
The Executive Assistant and Operations Analyst (Contract) provides administrative oversight of responsibilities associated with the Museum Director and directs matters relating to the management and administration of the Director's daily responsibilities. Exhibiting a commitment to integrity and excellence, this position coordinates the daily and long-range activities of the Museum Director; triages incoming matters and independently responds on behalf of the Museum Director; supports strategic partner communications to ensure timely and accurate IMCA visibility; and responds to inquiries from faculty, staff, students, and the public on behalf of the Museum Director regarding organization operations, policies, and procedures.
Utilizing strong analytical skills, independently performs the duties of an executive assistant. Oversees daily administrative operations of the Museum Director's office and ensures they run smoothly. Manages the Museum Director's complex calendar with frequent changes and conflicting priorities. Functions as a gatekeeper, understanding the requirements of the Museum Director to prioritize issues according to urgency and to allocate time for scheduled events, travel, and meetings. Briefs Museum Director on deadlines and the status of pending issues.
Works in cooperation with other staff and stakeholders on a variety of assignments to support and ensure efficient operations of the museum organization. The position requires demonstrated knowledge, experience, and flexibility in providing analytical and executive administrative support to executive management and management staff in an environment with frequently changing priorities and assignments; ability to act with professional demeanor and diplomacy.
Provides proactive, responsive, and effective executive-level support and must exercise discretion essential to handling sensitive and confidential matters. Uses skills as a seasoned, experienced professional with a full understanding of analytical practices, policies and procedures; researches, analyzes and develops solutions to a wide range of issues. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Primarily deals with museum organizational issues, which are complex in nature and diverse in scope. Develops new projects, policies, or procedures for possible implementation.
This is a one year contract.

The expected pay range for this recruitment is $69,500- $85,000 (Annual).
Required:
Demonstrated ability to exercise discretion, sound judgement, and maintain strict confidentiality regarding sensitive issues handled within the Museums.
Organizational skills to independently prioritize, manage, and complete multiple administrative and financial tasks, and to meet deadlines in an environment of frequent interruptions and changing and competing priorities.
Ability to analyze, track, monitor and reconcile financial information and format into reports.
Demonstrated experience providing analytical and executive level administrative support to a high level administrator.
Ability to independently anticipate problems and issues, determine appropriate solutions, and take action to mitigate potential negative effects as part of a team in order to meet the objectives of Museums.
Punctuality, accuracy, sensitivity to cultural differences, and ability to work collaboratively.
Skill and experience to independently analyze, develop, and manage administrative operations and special projects of an office/unit, including flow and storage of paper and electronic information, facilities and equipment management, space utilization, computing support, and procurement of supplies and materials.
Experience in communicating via telephone, email, and in person in a confidential, comprehensive, tactful and professional manner.
Demonstrated ability to analyze and implement university policies, procedures, and practices.
Skill to operate a personal computer and use word processing, spreadsheet, database, presentation, calendar management, email communication, and internet browser software, and operate office equipment such as a copier and scan.
Interpersonal skills to establish and maintain effective professional relationships and interactions with co-workers, all levels of university administration, faculty and staff, and a diverse public constituency.
Bachelor's degree in related area and / or equivalent experience / training.
Minimum of three years in a role(s) utilizing strong analytical skills.
Minimum of three years of experience providing executive-level administrative support to a high-level administrator.
Preferred:
Familiarity with UCI administrative organization and leadership, knowledge of university policies, procedures and practices.
Experience using UCI online administrative applications, including KFS, PAL, Microsoft, Data Warehouse, and UC Learning Center.
Experience working in a museum preferred.
