The Claremont Colleges Services (TCCS) is the central coordinating and support organization for a highly regarded cluster of seven independent colleges known as The Claremont Colleges. TCCS, with about 300 staff members, provides exceptional shared services to 9,000 students, and almost 3,600 faculty and staff. TCCS staff work in both student-facing services as well as administrative and operational services. Our numerous departments are located throughout The Claremont Colleges campus in the beautiful city of Claremont, California.
ABOUT THE POSITION:
Purpose: A versatile team member skilled in delivering a wide range of accounting services to The Claremont Colleges Services (TCCS) and The Claremont Colleges (TCC). This role ensures that the internal departments of TCCS receive accurate and timely reports. Responsibilities include budget preparation, general accounting, internal financial reporting, and non-financial data collection. The individual in this position effectively balances independent and collaborative work, handles confidential information with discretion, and is proficient in managing tasks within the Workday system to support TCCS's overall budget model.
ESSENTIAL FUNCTIONS
The following are the fundamental duties and responsibilities of this position which the incumbent must be able to perform to fulfill the purpose and requirements of this position.
Accounting
Assists in preparing weekly, monthly, and quarterly journal entries, and is responsible for reviewing journal entries and Supplier Invoices in Workday.
Prepares recurring and ad hoc journal entries and inputs institutional TCCS Supplier Invoices in Workday.
Supports the creation, review, and discussion of monthly Budget to Actual reports for TCCS departments and senior management.
Collaborates closely with the Office of Financial Services to ensure seamless coordination of accounting activities.
Acts as a 'superuser' for the financial system, using expertise to develop meaningful reports and provide training to TCCS internal departments. Assists with managing Worktags - keywords or dimensions used in Workday to categorize and describe transactions and events for reporting and security purposes.
Provides customer service by assisting departments with accounting and budget inquiries. Reviews transactions to ensure accurate accounting classification and proper supporting documentation, in line with TCCS policies.
Budget
Assists in the preparation of the annual budget, including setup, data collection, and providing support to directors during budget development, ensuring timeliness and effectiveness of the process.
Provides customer service by assisting departments and intercollegiate programs with budget-related questions.
Data Analysis
Assists management in developing and maintaining organization-wide metrics and data collection processes.
Collects data from TCCS Departments, TCC Colleges, and TCC Programs, ensuring data quality and application accuracy for departments, providing reliable analyses with a high degree of confidence.
Generates recurring metrics reports (monthly, quarterly, annually) for various stakeholders, accurately informing them about the utilization and outcomes of current strategic initiatives.
Produces relevant graphs and charts, drafts narratives for reports to upper management, designs reports to integrate data, and provides regular updates on customer and operational data, with a focus on progress against targets and service level agreements.
QUALIFICATIONS
Education/Training: A bachelor's degree in accounting, business administration, or a related field; or the equivalent in a combination of education, training, and additional work experience beyond the minimum required.
Experience:
At least two (2) years of experience in accounting and financial reporting.
Experience using cloud-based ERP systems is required.
Knowledge, Skills, and Abilities:
Proficiency in MS Excel, Word, Outlook, Powerpoint, Teams and Adobe PDF required; strong Microsoft Excel knowledge required.
Foundational understanding of GAAP.
Fundamental understanding of and familiarity with maintaining confidentiality of sensitive information.
Ability to solve problems and work with limited direction
Strong verbal, and written communication in English.
Ability to summarize data in a clear and concise manner and communicate effectively to different stakeholders.
Strong interpersonal skill with the ability to foster collaboration and build positive relationships with internal and external constituencies, including with customers and vendors.
Strong analytical skills with an ability to synthesize and effectively articulate data.
Ability to manage time and assignments to meet expectations and strict deadlines.

Work Schedule: The regular hours for this full-time position are [8] hours scheduled from 8:00 a.m. to 5:00 p.m., Monday through Friday for 12 months annually. May be required to work holiday, weekend, and/or evening hours. Regular hours may vary due to the needs of the organization or business unit. This position is eligible for a hybrid work schedule to work partial hours remotely as approved by the supervisor.
COMPENSATION
Pay: The salary for this position is competitive and commensurate with the duties, responsibilities, and qualifications required for the position, between $70,000 - $80,000 a year depending on experience.
