Position Title: Secretary to the Associate Dean for Graduate Education & Research and Associate Dean for Professional Development
Organizational Structure: The individual is employed as a staff member in the Office of the Dean, College of Pharmacy and Health Sciences and works under the supervision of the Associate Dean for Graduate Education & Research and Associate Dean for Professional Development.
Responsibilities for:
The Office of Graduate Education & Research:
Maintain graduate program databases.
Effectively use the University's Banner system to complete administrative tasks.
Maintain and manage confidential graduate education and research files.
Assist the Associate Dean for Graduate Education and Research for program operations, outreach, and alumni events.
Effectively use Proquest ETD, the University Library's theses and dissertation database.
Processes graduate theses/dissertations in ProQuest ETD, ensuring formatting compliance
Office of Professional Development:
Coordinate and provide on-site support for internal and external Office of Professional Development events
Process Continuing Education (CE) Requests and CE processing with ACPE
o Training and Proficiency in Formstack
o Training and Proficiency with Lecture Panda
Manage the APhA Immunization Course including:
o Manage participant communications and registrations
o Tracking home study completion and live session attendance
o Tracking registrations on Give Campus platform
Assist and coordinate ACPE Accreditation activities
Support preceptor development and other CE or certificate programs.
Serves as the primary communication liaison for the Associate Dean (s), managing professional correspondence and interactions with students, faculty, administrators, and stakeholders across both internal and external channels
Maintains critical documentation and records in databases, ensuring accuracy and timeliness
Demonstrates proficiency in essential software platforms including:
o Slate, Formstack, Microsoft Office applications
Provides comprehensive support for Office of the Dean operations, including:
o Manage front desk reception duties with professionalism.
o Representing the office at College events
o Contributing to special College initiatives and projects
Adapts to emerging needs and takes on additional responsibilities as required to support office objectives and institutional goals.
Consistently demonstrates the highest standards of professional workplace conduct by:
o Maintaining discretion and confidentiality in all communications and interactions.
o Maintaining appropriate business attire and presentation
o Contributing to a positive and collaborative work environment
Qualifications:
Required:
High school diploma
2+ years secretarial experience
Advanced Microsoft Office Suite proficiency
Strong database management skills
Excellent communication skills
Preferred:
Bachelor's degree
Demonstrated adaptability in fast-paced environments
Eagerness to learn new systems and processes
Collaborative mindset with proven team experience
In compliance with NYC's Pay Transparency Act, the annual salary for this position is $48,400. St. John's University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.
This position may be relocated to any of St. John's University's physical locations at any time.
