Job Description
The Project Manager, under the direction of the Director at the Undiagnosed Diseases Network (UDN) Data Management Coordinating Center (DMCC) in the Harvard Medical School (HMS) Department of Biomedical Informatics (DBMI), will play a central operational and administrative role within an interdisciplinary team of clinicians, researchers, bioinformaticians, and developers working to advance collaborative rare disease research. The UDN consists of the DMCC at HMS, 24 clinical sites, a sequencing core, and two model organism screening centers. Together, the UDN aims to:
Provide answers for patients with undiagnosed conditions
Generate new knowledge about disease mechanisms
Assess the application of emerging phenotyping and genomic technologies
The Project Manager will be closely involved in case operations, protocol maintenance, meeting coordination, and internal communications for the UDN DMCC. They will play a key role on the UDN Central team by supporting the case activities outlined below.
Primary Functions and Duties -
Case Operations:
Participate in and coordinate case reanalysis initiatives.
Communicate with researchers, participants, and the public about UDN cases.
Coordinate case consultations and required follow up and maintain communications with UDN sites.
Assist participants with submitting updates and medical records.
Review and triage ClinVar, GeneMatcher, OMIM, and clinical updates for UDN participants.
Create, maintain, and update administrative and technical standard operating procedures (SOPs).
Initiate quarterly and biannual data quality assurance reviews in coordination with UDN sites.
Assist with the training of genetic counseling students and interns.
Work closely with genetic counselors, patient navigators, and UDN site coordinators to support progress on investigations for UDN participants.
Protocol and Investigator Maintenance:
Develop, submit, and track protocol and consent modifications.
Complete annual protocol reviews in a timely and efficient manner.
Coordinate onboarding and training for new UDN sites.
Serve as point of contact for site questions and liaise with the NIH central IRB as needed.
Track and update investigator training records and manage access to shared resources, including the UDN Gateway.
Partner with site coordinators to ensure adherence to IRB and regulatory requirements.
Meeting Coordination:
Coordinate agendas, compile and distribute meeting minutes, and manage all pre- and post-meeting communications in collaboration with UDN leaders.
Host virtual meetings (typically via Zoom) for 20 to over 100 attendees.
Create and maintain calendar invitations for network meetings.
Provide administrative and logistical support before, during, and after in-person meetings and events.
Qualifications
Basic Qualifications:
5 + years of experience, higher degree may count towards experience.
Additional Qualifications and Skills:
Master's degree in genetic counseling is strongly preferred.
Knowledge of the healthcare system and human subjects research.
Ability to handle and manage sensitive (HMS Level 4) data.
Outstanding interpersonal skills.
Excellent verbal and written communication skills.
Superb organizational skills and extreme attention to detail.
Ability to independently meet all deadlines for deliverables and activities.
Exceptional time management. Experience with Outlook and Zoom.
Familiarity with IRB processes and human subjects research protocols.
Additional Information
Term: This is a one-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
Standard Hours/Schedule: 35 hrs. per week | Monday - Friday | 9:00 am - 5:00 pm

This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process.
