Position Overview: Reporting to the Director of Development & Community Engagement, the Assistant Director of Development & Alumnae Relations will work to foster excellent alumnae relations that will strengthen St. Mary Academy - Bay View’s community to support the long-term interests of the school. The Assistant Director will be responsible for fundraising, meetings, events, and communications designed to engage with alumnae and Bay View’s stakeholders. S/he will be expected to fundraise with a particular emphasis on relationship management with key donors, as well as extending the culture of philanthropy for the wider school community. The Assistant Director will be responsible for an annual fundraising goal, determined collaboratively each year with the Director of Development & Community Engagement.
Examples of Key Duties and Responsibilities:
Work in collaboration with all members of the Development & Community Engagement team to develop and execute an annual schedule of programs and on and off campus events that meet strategic broad-based engagement goals and objectives, as determined by the Department, School, and Leadership;
Promote legacy giving within the school community, developing and managing activities that strengthen relationships with alumnae, parents/family members, and other prospects;
Establish and build relationships with a wide range of alumnae and parents/family members locally, regionally, and nationally with an interest in supporting the School through event-based engagement;
Raise awareness of Bay View’s work through showcasing and profiling successful alumnae stories on all platforms, lead the Alumnae Council and participate with the Parent Council for fundraising activities;
Plan and execute on- and off-campus events of interest to alumnae and parents/family members across decades and geographic regions; with a specific focus on reconnecting with disengaged alumnae and other important community partners;
Oversee event logistics (including invitations, guest lists, and event page builds), catering, entertainment, and facility requirements;
Work with Communications to prepare invitations, briefings and other materials required to support the event or program and School leadership involvement;
Manage relationships with venues/vendors/caterers and other service providers;
Work with team and alumnae and parent volunteers to staff alumnae and parent programs;
Personally represent the School and its broad goals and mission at various events and programs;
Assist the Director of Development & Community Engagement to manage the overall execution of reunion events each year;
Oversee all planning and logistics involving facilities and catering, class volunteers and committees and support the Director of Development & Community Engagement;
Support regional alumnae club and affinity group activities as determined by Department leadership;
Oversee the development, production, and procurement of creative gift items that can be shared with hosts and attendees at events and programs and be given as donor gifts;
Support donor relations and stewardship operations with events to appropriately acknowledge key donors to the School; and
Assist with other Development & Community Engagement initiatives as assigned by the Director.
Employment Standards:
Ability to operate and use a broad spectrum of tools and equipment skillfully and safely perform physical labor, such as bending, standing, walking, climbing, lifting, and carrying 50 lbs.+;
Follow oral and written instructions;
Maintain cooperative working relationships;
Hours are 40 hours per week, year-round, including some nights and weekends as necessary; and
The candidate will be required to pass a national background check with fingerprints.

Requirements:
Bachelor’s Degree preferred;
Direct experience with alumnae relations, development, or advancement preferred;
Two to five years’ experience in event planning required, preferably in an educational or alumnae association setting with reunion work experience preferred;
Exceptional relationship building skills with the ability to engage and motivate alumnae of all ages and backgrounds;
Excellent verbal and written communication skills including public speaking;
Excellent organizational skills and attention to detail;
Proficiency with Microsoft Office Suite is expected. Knowledge of additional software programs is preferred;
Must have the ability to learn new software, especially Blackbaud NXT if not already proficient;
Experience in using social media outlets professionally to engage constituents and generate interest within specific demographics preferred;
Ability to work independently in a fast-paced environment and also cooperatively as part of a team; and
Must be willing to travel and work evening and weekend hours as needed.
